Terms & Conditions
Last updated: 30 September 2026
These terms apply to all appointments and services provided by Kilnside Medical Clinic. By booking an appointment you agree to these terms.
1. Our services
We provide private primary care services, including GP consultations, health checks, diagnostic tests and vaccinations. Our services complement, and do not replace, your NHS GP. In an emergency always call 999.
2. Eligibility
Our services are available to adults and children. Patients under 16 must be accompanied by a parent or legal guardian.
3. Booking and confirmation
Appointments may be booked online, by phone or in person. A booking is confirmed when you receive a confirmation email or text message.
4. Fees and payment
Our current fees are published on our Fees page. Payment is due at the time of your appointment (or when booking for video consultations). Additional tests, prescriptions or procedures will be discussed and agreed with you before they are carried out.
5. Cancellations and late arrivals
You may cancel or change your appointment free of charge up to 24 hours beforehand. Cancellations within 24 hours or missed appointments may be charged at 50% of the appointment fee. If you arrive more than 10 minutes late, we may need to rebook your appointment.
6. Insurance
If you are claiming through private medical insurance, you are responsible for obtaining authorisation from your insurer. Any amount not covered by your insurer is payable by you.
7. Test results
Results are reviewed by a doctor before being released. Turnaround times are estimates and may vary depending on the laboratory.
8. Prescriptions
Private prescriptions are issued at the discretion of the treating clinician and are subject to a clinical assessment. Medication costs are payable at the pharmacy.
9. Conduct
We operate a zero-tolerance policy towards abusive or violent behaviour towards our staff.
10. Complaints
If you are unhappy with any aspect of our service, please contact our Practice Manager. We aim to acknowledge complaints within 3 working days and respond fully within 20 working days. If you remain dissatisfied you may contact the Independent Sector Complaints Adjudication Service (ISCAS).
11. Governing law
These terms are governed by the laws of England and Wales.
This is sample policy wording for a demonstration website. A live clinic should have its policies reviewed by its Data Protection Officer or legal adviser.
